Missed Appointment (No-Show) and Same Day Cancellation Policy

Effective September 1, 2026


Purpose:

Eastern Dermatology & Pathology strives to provide timely access to dermatologic care for all patients. When appointments are missed or canceled without adequate notice, that appointment time often cannot be offered to another patient who may be waiting for care. This policy is intended to promote timely communication, improve access to appointments, and encourage responsible use of reserved appointment times.


Cancellation Requirements:

Patients who are unable to keep a scheduled appointment are asked to notify the practice as soon as possible. At least 24 business hours' notice is requested.


Missed Appointment Fees:

A missed appointment or late cancellation may result in a $25 missed appointment fee. This fee applies to routine office visits and appointments unless otherwise prohibited by law or payer requirements. The fee is the patient's responsibility and is not billable to insurance. The practice reserves the right to waive the fee based on the circumstances, including illness, emergencies, hospitalization, severe weather, or other situations deemed appropriate by the practice. Patients covered by Medicaid or other programs that prohibit missed appointment fees will not be charged where prohibited.


Repeated Missed Appointments:

Repeated missed appointments interfere with the practice's ability to provide care to all patients. Patients with two (2) missed appointments or late cancellations within a rolling twelve (12) month period may be subject to:

  • Review by the treating physician
  • Limitations on advance scheduling
  • Same-day scheduling only, when appropriate
  • Dismissal from the practice in accordance with applicable laws, regulations, and practice policies regarding termination of the physician-patient relationship


Appointment Reminders:

As a courtesy, the practice may provide appointment reminders by telephone, text message, email, or patient portal. Failure to receive a reminder does not relieve the patient of the responsibility to keep or cancel an appointment within the required timeframe.


Payment:

Missed appointment fees are due upon request and may be required before future appointments are scheduled, unless otherwise approved by the practice.
